Privacy policy
Effective November 1, 2026
This policy explains how Pivotal Ridge Solutions LLC ("we", "us") handles information in Pivotal Insights (the "Service") and on pivotalinsights.ai. Questions can be sent to info@pivotalridge.com.
1. Information we collect
- Account information. Names, work email addresses, roles and access settings for people a client invites to the Service.
- Client data. Financial and planning data a client brings into the Service, either by connecting an accounting system or ERP or by uploading files. This includes accounts, departments, actual and budget amounts, and, if the client uses those features, workforce, vendor, customer, project and fixed asset records.
- Connection credentials. API credentials or tokens a client provides so the Service can read from and write to its accounting system.
- Usage information. Sign-in times, actions such as submissions and approvals, and technical logs needed to run and secure the Service.
- Messages to us. Anything you send when you contact us.
This website does not use advertising or analytics cookies, and it does not track visitors across other sites.
2. How we use information
- To provide the Service: syncing data, building budgets, forecasts and reports, sending notices, and writing approved budgets back to the client's system.
- To support clients, including setup and troubleshooting a client has asked for.
- To secure the Service, prevent misuse and keep required records.
- To bill for the Service and communicate about the account.
We do not sell personal information or client data, and we do not use client data for advertising.
3. Data from connected accounting systems
When a client connects QuickBooks Online, Acumatica, Microsoft Dynamics, Oracle NetSuite, Sage Intacct or another system, the Service reads only the data needed for planning and reporting, and writes only to the budget the client selects. The client can disconnect at any time from the Connections page or from the accounting system itself. Credentials are stored encrypted and cannot be read back through the Service.
4. AI features
If a client uses AI features, the figures and text needed for that task are sent to our AI provider to produce a draft. Under the provider's commercial terms, this data is not used to train its models. A client administrator can switch AI features off.
5. Service providers
We use a small number of providers to run the Service, for hosting and database services in the United States, email delivery, and AI processing. They may process data only to provide their services to us. A current list is available on request.
6. Sharing
We share information only with the client that owns it and the people it authorizes, with our service providers as described above, when required by law, or as part of a merger or sale of the business, in which case this policy continues to apply.
7. Security
Data is encrypted in transit and at rest, each client's data is separated in the database, and access is limited by role. More detail is on our security page.
8. Retention and deletion
We keep client data for as long as the client subscribes. At the end of a subscription, we provide an export on request and then delete the client's data. Copies in backups are removed as those backups expire.
9. Your choices
Users can change their email settings in the Service. Requests to access, correct or delete personal information should go to the client organization that invited you, or to us at the address above, and we will work with that client to respond.
10. Children
The Service is for businesses and is not directed to children.
11. Changes
We will post any changes here and update the effective date. Material changes will be sent to client administrators by email.
